Administrative Assistant for Property Management Company

We are a West End (W2) UK property Management company with a portfolio of predominantly residential properties. We are looking for a flexible, confident, self-motivated, trustworthy, responsible individual who can use their own initiative and work independently.
A successful candidate will be supporting lettings, maintenance and accounts within the company.
The individual must be able to work to deadlines and be resourceful and able to resolve issues that arise.
You will be solving both technical and practical situations that arise from the managed properties and will liaise with landlords, tenants and contractors in respect to our portfolio.
You will need to have the ability to negotiate and find solutions. Interpersonal and problem-solving capabilities are essential.
The successful candidate will be self-motivated with good common sense and strong communication skills
Exceptional customer service skills and the ability to be highly organized and multi task is essential.
Previous property management experience and knowledge of CFP will be advantageous.
Key Responsibilities
Maintaining and updating Landlord, Property, Contractor and Tenant details on CFP.
Reconciling rent payments and ability to run various reports on CFP.
Populate works orders to record and track all works through to completion
Organising maintenance and dealing with contractors, tenants and landlords
Arranging annual gas certificates, Electric certificates, EPC and regular maintenance work
Dealing with deposit protection and refunds.
Dealing with Property inspections, inventories and check outs
Assist Landlords and Tenants to resolve any issues that may arise during a tenancy
File tenant repairs/maintenance requests, instruct our approved contractors
Carry out regular Property Inspections and submit detailed pro-active reports to Landlords
Co-ordinate and oversee refurbishments projects
Discuss possible renewals
Dealing with problem tenants and evictions
Ensure tenants are receiving best service Whiles looking after the Companies interests
Essential skills:
Direct residential lettings or property management experience.
Customer service skills
Ability to manage time effectively and multi task
Able to work comfortably under pressure
Flexible and calm approach
Good IT skills including Excel, Word and CFP
Excellent administration skills
Excellent attention to detail
Excellent communication skills
Strong organizational skills
Strong Negotiation skills
Natural and professional phone manner
Fluent spoken/written English is a MUST
