Award winning domestic tour operator with small, friendly team selling coach based sightseeing tours operating
from pleasant offices in South East London with a gym and swimming pool.
ADMIN ASSISTANT/OPERATIONS DEPARTMENT
Normal working hours are Monday to Friday 9am - 5.30pm
Occasional requirement to work weekend days
Six weeks holiday including Bank Holidays and Christmas shutdown
£17,000 -£19,000 per annum
Skills Profile:
The Ideal candidate:
• Will have some customer service and administration experience.
• Will speak fluent English with clear pronunciation for dealing with Customers/Suppliers.
• Have excellent written English.
• Be well organised.
• Have good and competent computer skills. MS Word, Excel, Outlook.
• Be willing to learn new skills
• Have good time management.
• Will be reliable and confident.
• Can work under pressure.
• Will be consistent in attending to regular duties without needing to be prompted.
• Will have excellent people and customer service skills with strong attention to detail
• Will have an exceptional telephone manner and communication skills
• Will be able to successfully prioritise workloads efficiently
• Have a sense of fun and enjoy being part of a small efficient team
Job Profile:
• This post supports the operations, marketing and finance team
• Managing incoming post.
• Responding to client queries via email, telephone or post.
• Replying to emails in a prompt and professional manner.
• Maintaining the bookings system by inputting bookings/customer information into the in house back office
system
• To take bookings, advise customers and create and dispatch customer documentation including tour
confirmations and receipts of payments.
• Assist on the management of freelance staff availabilities
• Assist in the preparation of tour itineraries
• Management of daily brochure request/dispatch orders.
• Directing and answering telephone calls when necessary.
• Assisting with the supply chain booking procedures
• Keeping clients/suppliers up to date with any changes on bookings.
• Dealing with supplier bookings and queries.
• Checking bookings are correctly reflecting information provided by customers/suppliers, correcting errors
and minimising mistakes.
• Making amendments to existing bookings and dealing with cancellations
• Scanning and filing relevant paperwork
